HubSpot Integration Step-by Step Guide

  1. Go to Integrations in the left navigation of your Gallabox account. Hover on HubSpot Integration and click on Connect. The Integration page will open up. Click on Connect and provide a name. Click on Submit and you will be redirected to authorize the Hubspot account.

  1. Authorize your Hubspot account. Choose the Hubspot account and it will be connected to your Gallabox account.

Sync Gallabox Contacts to Hubspot

When someone starts a conversation, Gallabox can automatically create a new contact in HubSpot — if one doesn’t already exist. Simply toggle the switch ON to enable this. Click on 'Update Configuration' once done.

HubSpot identifies contacts primarily by email, while Gallabox identifies them by phone number.

If you skip the Name and Email in HubSpot, contacts may be created with the name “Guest” or duplicated in Gallabox—especially when the same phone number is used with different email addresses.

Add Name and Email to avoid duplicates and ensure accurate syncing between HubSpot and Gallabox.

Update Conversation History in Hubspot

We have made it easier for you to track WhatsApp conversations inside HubSpot. Now, when you enable the "Log Resolved Conversations" toggle in Gallabox:

  • Every time you resolve a WhatsApp conversation in Gallabox, it will automatically be logged as a note under the associated contact in HubSpot.

  • If a conversation is reopened, only the new messages (after the last sync) will be logged as a new separate note.

  • If the toggle is disabled, conversation logs won’t be sent to HubSpot.

  • If a contact doesn’t exist in HubSpot, the conversation log won’t be created.

Click on 'Update Configuration' once done.

Incoming Message Configurations

Gallabox has streamlined the process of setting up incoming WhatsApp message notifications in HubSpot. This enhancement ensures that your team stays informed in real-time when customers reach out.

For Existing HubSpot Integrations (Connected Before May 27, 2025)

If you have connected your HubSpot account to Gallabox prior to May 27, 2025, follow these steps to enable incoming message notifications:

  1. Upon accessing the HubSpot Integration page in Gallabox, you will be prompted to grant permission for Gallabox to create a custom field named Last WhatsApp Incoming Message in your HubSpot account. After granting permission, update the configuration settings.

  2. Navigate to Automations > Workflows in HubSpot. Click on Create Workflow and select Start from Scratch. Choose Contact-based as the workflow type.

  3. Set the Trigger: - Select When filter criteria is met. - For filter criteria, choose Contact properties. - Select the Last WhatsApp Incoming Message field. - Set the condition to is known.

  1. Add an Action as a next step in the workflow: - Choose Communications > Send in-app notification. - Select the recipients who should receive the notification. - Set the Notification Type to Desktop. - For the subject, enter: New WhatsApp message from {{contact.firstname}}. - For the body, enter: {{contact.last_whatsapp_incoming_message}}. - Review and publish the workflow to activate it.

For New HubSpot Integrations (Connected On or After May 27, 2025)

For businesses connecting HubSpot to Gallabox on or after May 27, 2025, the setup process is even more straightforward. Gallabox will automatically create the Last WhatsApp Incoming Message custom field in your HubSpot account during the integration process.

  1. In the Gallabox HubSpot Integration page, select the channels for which you want to receive incoming message notifications and update the configuration. Click on Update Configurations.

  1. Navigate to Automations > Workflows in HubSpot. Click on Create Workflow and select Start from Scratch. Choose Contact-based as the workflow type.

  2. Set the Trigger: - Select When filter criteria is met. - For filter criteria, choose Contact properties. - Select the Last WhatsApp Incoming Message field. - Set the condition to is known.

  1. Add an Action: - Choose Communications > Send in-app notification. - Select the recipients who should receive the notification. - Set the Notification Type to Desktop. - For the subject, enter: New WhatsApp message from {{contact.firstname}}. - For the body, enter: {{contact.last_whatsapp_incoming_message}}. - Review and publish the workflow to activate it.

Now you will be notified in your HubSpot account whenever you get any notification via Gallabox.

Hubspot Message Logs

A "Logs" tab will display information for each synced contact, including: Date when message was sent, Record ID in HubSpot, Mobile number, and the status of the the message.

WhatsApp Chat Window

Integrate Gallabox and Chat directly in your HubSpot CRM for smooth communication.

You can access the Chat Window for every contact created in your HubSpot CRM using the following steps:

  1. Go to Contacts and choose the contact you would like to send message to.

  1. Click on Show Sidebar. Scroll down the sidebar and you will see the button "Send WhatsApp Message" under WhatsApp Business Messaging.

  1. Click on the button "Send WhatsApp Message" and a pop-up will open up. Enter your Gallabox's account details to login to Gallabox. Once you are logged in, click on Start Conversation.

  1. Select the message template you want to share with your customer. Map the variables (if any). Click on send.

The WhatsApp Template will be shared with your customer.
